No. The Secure plan ($15/mo) works entirely standalone — no Google account required. You get full handwriting capture, on-device OCR conversion, clinical note templates, and encrypted local storage. The Cloud and Pro plans add Google Drive sync, Sheets logging, and Calendar integration, which require a paid Google Workspace account (Business Starter or higher). Personal @gmail.com accounts are not HIPAA-compliant and cannot be used for clinical data.
Practice Pad is built with HIPAA-aware architecture — encrypted local storage, biometric authentication, audit logging, and on-device OCR that keeps your notes off third-party servers during conversion. However, Practice Pad itself is not a covered entity. Clinicians are responsible for configuring their own Google Workspace account for HIPAA compliance and executing a Business Associate Agreement (BAA) directly with Google. Google offers a BAA for Workspace Business plans.
Practice Pad requires any iPad running iPadOS 16 or later, paired with any generation of Apple Pencil (1st gen, 2nd gen, or Apple Pencil Pro). If you already use an iPad for handwriting in sessions, you have everything you need.
Your notes are yours. On the Cloud and Pro plans, all session notes are exported as standard PDFs in your Google Drive — they remain accessible through Google regardless of your Practice Pad subscription. On the Secure plan, notes are stored locally on your device and can be exported before canceling.
Practice Pad supports note-taking for any session type — in-person, hybrid, or telehealth conducted through a separate video platform. Practice Pad does not provide telehealth video, scheduling, or session recording; it is a clinical documentation tool only. All plans let you capture, convert, and organize notes for any session format you use.
